Through importing participants, you can import new participants or update existing ones. See Import custom fields to add custom field values to existing registrations.
Importing new participants
You can import new participants by first adding registrations. This can be done by adding an order with multiple tickets through Atleta, or by purchasing multiple (group) tickets through the registration form. It does not matter if the registrations are already assigned or not. After the registrations are added, you can import personal data. This is done in the same way as changing existing participants (see below).
Updating existing participants
Create a spreadsheet that looks like this. In the first column, place the registration numbers you can find in the export of registrations. Place the fields you want to edit in the remaining columns (first name, gender, date of birth, etc.). To assign registrations, the following columns are required: email address, first name, last name.
Registration number | Email address | First name | Last name | Date of birth | |
1 | 101 | email1@atleta.cc | First name 1 | Last name 1 | 22/02/1992 |
2 | 102 | email2@atleta.cc | First name 2 | Last name 2 | 01/12/1978 |
3 | 103 | email3@atleta.cc | First name 3 | Last name 3 |
Save the spreadsheet as a CSV file. You're now ready to upload it to Atleta. Atleta will analyse the file for potential problems, and show you a summary of the results. If no problems are found, you can go ahead an finalise the import. However, if Atleta does find problems, you have two options:
- Finalise the import anyway, skipping all invalid rows, and only importing the valid rows.
- Go back to your spreadsheet, correct the invalid rows, and try again.
After the import is complete, you have the option to send a confirmation email.
Columns that can be imported
You can take the columns from the export registrations (regardless of language). Below is an overview of the columns that can be imported. Columns that cannot be imported are ignored. So you can re-import an export of registrations without deleting unnecessary columns first.
